Our Closing Goal During COVID-19

It is the goal of Proper Title to offer you the best closing experience within our industry. While we navigate the current COVID-19 pandemic, we’ve created the below processes and recommendations to keep you, your clients, and our team safe. Closing appointment process & Recommendations:

All closings: Curbside, Drive-In, Parking Lot, and In-Office require a scheduled appointment.


How to Schedule AN APPOINTMENT


General closing procedures

  • Any party who will be participating in a closing must fill out a health form and submit for review and approval prior to the closing.

  • We are strongly encouraging the Seller(s) and Buyer(s)/Borrower(s) to obtain Power of Attorney from his/her/their respective attorneys to limit the number of people at the closing table (applies to purchases).

  • Seller(s) attorney can FedEx paperwork to his/her closing. If dropping off paperwork at an office, you must schedule an appointment.

  • Please arrive on time to closing appointments. Most closings are scheduled back-to-back and if your closing is delayed due to someone not being on time we cannot promise your time will be held.

  • Before arriving for a closing, alert your clients to the changes to the closing procedure.

  • Use a video chat app (FaceTime, Skype, etc.) to address any questions as they go through the signing process. If video isn’t an option, a phone call will work, but either way, you need to remain available to answer any questions as you normally would.

ProperContact is “contactless” and provides a safe and secure closing requiring no proximate physical contact with any other party to the transaction.

ProperContact is currently being offered for seller’s attorneys/customers or for cash purchases only (as of May 6, 2020). We will update you when additional options are available.

Curbside, Drive-In & Parking Lot Closing Procedures:

  • A Proper Title Escrow Officer will deliver documents that need to be executed to the Buyer(s)/Borrower(s) car in the location’s parking lot or curbside, or the Buyer(s)/Borrower(s) driveway (driveway is for refinance only), as applicable.

  • Buyer(s)/Borrower(s) will need to provide a valid ID and their cash to close (check or wire information) to the Escrow Officer prior to signing. He or She will take a picture or make a copy of the ID.

  • Once documents are executed, the Escrow Officer will return to the office to process for the closing. If the Buyer(s)/Borrower(s) have a check for cash to close, it must be included with the documents.

  • Buyer(s)/Borrower(s) will need to remain in the car until funding approval from the lender (applies to purchase and same day refinances).

  • Once funded, the Buyer(s)/Borrower(s) will be notified by the Escrow Officer and allowed to leave. An overage check if applicable will be delivered to the Buyer(s)/Borrower(s) curbside post-closing. A copy of the closing documents will be delivered via secure email.


Curbside Refinance Closing Procedures

  •  The closing/appointment must be scheduled as a Curbside request.

  • Processing will send all closing documents via email to the borrower. Please note that the borrower’s email address needs to be provided at the time of the scheduling closing/appointment. 

  • A Notary will deliver documents that need to be executed to the borrower’s home with information on how to sign, color ink to use, and any other pertinent information.

  • Borrower will need to provide a valid ID and his/her cash to close (check or wire information) to the Notary prior to signing. He/She will take a picture or make a copy of the ID.

  • The Notary will then go wait in the car for the borrower to complete signing.

  • Borrower should review documents and reach out to his/her lender if he/she has any questions

  • Once documents are executed, the borrower should deliver documents to the Notary in his/her car.  Notary will review documents to see if any signatures are missing. If all documents are approved, then Notary will leave and process the documents for funding.

In-Office Closing Procedures:

  • The only parties at an in-office closing should be the Buyer(s)/Borrower(s) who are unable to obtain a POA and who will need to sign the documents and his/her/their respective attorney.

  • With the lender’s authorization, Proper Title will send paperwork to the Buyer(s)/Borrower(s)  and the respective attorney ahead of time to allow time for review and any questions.


*Tips To Keep Documents Sanitary:

  • Sanitize and/or wash your hands after handling signed documents.

  • Wear gloves when handling documents.

  • Clean and disinfect surfaces.
